On the 25th May 2018, the new General Data Protection Regulation (GDPR) came into force
across the UK. This enhances and changes commitments to handling personal data set out in the
Data Protection Act (1998), strengthening and unifying data protection for all individuals.

GDPR applies to organisations that take personal data from its customers or members, for example
via manual or electronic based formats e.g. member forms, online platforms or club website. It
relates to how the club not only obtains personal information but how it then stores and uses this
data. All clubs need to ensure that when dealing with personal data:
• They process it securely,
• It is updated regularly and accurately,
• It is limited to what the club needs,
• It is used only for the purpose for which it is collected,
• It is only used for marketing purposes if the individual has given the club consent to
do so.

Abingdon Judo Club has an obligation to process the rights of all those we hold data on. These include:

• The right to be informed,
• The right of access,
• The right to rectification,
• The right to erasure,
• The right to restrict processing,
• The right to data portability,
• The right to object, and
• The right not to be subject to automated decision-making including profiling

The data that Abingdon Judo Club holds on it’s players and/or parents is listed below:

  • Full name
  • BJA membership number and expiry date
  • Email address – used to inform players and parents of term dates, fees and upcoming events
  • Term fee payment details
  • Gi, belt or club merchandise payment details
  • Email address and home address associated with Paypal payments
  • Medical information provided e.g. asthmatic, diabetic etc.
  • Contact telephone number (where it has been provided)

Once a Judoka leaves Abingdon Judo Club their personal details are removed, however payment data is retained for financial tracking purposes.
